This policy sets out how personal data of users of optimustransport.pl and of clients, counterparties and drivers is processed and protected. It reflects the GDPR (EU Regulation 2016/679), the Polish Act on Providing Services by Electronic Means and the specifics of road transport. The Polish version is legally binding; this is an informational translation.
I. Data controller

II. Purposes and legal bases
- Provision of transport services, carriage contracts and orders, Poland-UK delivery coordination [Art. 6(1)(b) GDPR].
- Settlements and tax/accounting obligations, invoices [Art. 6(1)(c) GDPR].
- Security and pursuit of claims, legitimate interest [Art. 6(1)(f) GDPR].
- Handling enquiries from the contact and quote forms (including planned shipment details: route, number of pallets, weight, date) on the basis of your consent and steps taken before entering into a contract [Art. 6(1)(a) and (b) GDPR]. You can withdraw your consent at any time by writing to the address given in section I; this does not affect the lawfulness of earlier processing.
- Service security and abuse prevention: when a form is submitted, we record the IP address, the browser identifier (user agent) and the address of the page from which the enquiry was sent. We do this in the legitimate interest of the controller (protection against spam and abuse, and for evidence purposes) [Art. 6(1)(f) GDPR]. This data is stored together with the enquiry. The hosting provider also keeps standard server logs.
III. Recipients and transfers outside the EEA
Data may be shared with subcontractors (carriers), drivers, customs agencies, telematics operators and tax and customs authorities. We also use trusted IT service providers who process data on our behalf: the hosting provider for the website and mailboxes and, only after your consent given in the cookie banner, Google Ireland Limited as the provider of visit statistics. For transport and warehouse operations in the United Kingdom (outside the EEA), we transfer data on the basis of the European Commission adequacy decision for the United Kingdom (Article 45 GDPR; renewed in December 2025 and valid until 27 December 2031) and in line with the CMR Convention. Should the adequacy decision lapse, we will rely on other safeguards provided for in the GDPR, such as the EU Standard Contractual Clauses.
IV. Retention
- carriage documentation (CMR), until claims become time-barred;
- tax documentation, 5 years from the end of the year in which the tax payment deadline fell;
- contact-form enquiries, for the duration of the correspondence and afterwards for no longer than 3 years, for evidence purposes related to possible claims; earlier at your request if no cooperation followed. We review and delete enquiries automatically after 36 months.
V. Rights of data subjects
You have the right of access, rectification, erasure, restriction, data portability and objection. You may lodge a complaint with the President of the Personal Data Protection Office (UODO).
