The cost of moving exhibits to a UK trade fair depends mainly on the load quantity and size (pallets, weight, non-standard elements), the transport formula (LTL groupage, dedicated van or FTL), the delivery place and venue slots, the dates and the customs scope (ATA carnet or standard clearance). We quote rates only individually — below we explain what shapes them.
What builds the price of exhibition transport to England
- Quantity and size. The number of pallets, weight, height and non-standard elements (platforms, display cases, oversized exhibits) determine the space used and the choice of vehicle.
- Transport formula. LTL groupage is the most economical for a few pallets, a dedicated van gives speed and flexibility, and FTL means a whole vehicle for one stand.
- Place and slots. Delivery in a fixed build-up slot, waiting for unloading and the venue rules all affect the vehicle working time.
- Dates. The peak fair season, weekend delivery windows and express service raise the cost compared with a standard plan.
- Customs handling. Export and import clearance or handling an ATA carnet at the borders is a separate component of the order.
- Extra services. The buffer warehouse in Milton Keynes, a tail-lift, carry-in to the stand, collection at breakdown and the return transport.
LTL, FTL or a dedicated van
With one or a few pallets of exhibits groupage usually wins; with a rigid build-up slot and unusual hours — a dedicated van; with a full stand build — a whole vehicle. We compare these options in express LTL or a dedicated van.
Clearance and the ATA carnet as a cost component
After Brexit customs formalities are a fixed element of every UK quote. The carnet issuing fee and the security sit with the exhibitor (in Poland the carnet is issued by KIG), while the transport side covers stamps at the borders and crossing declarations (ENS, GMR). For goods staying in the UK, export and import clearance applies. The carnet rules are explained in ATA carnet, what it is.
How to prepare a quote request
- The venue and the name of the trade fair.
- Build-up and breakdown windows confirmed with the organiser.
- A load list: number of pallets or crates, dimensions, weights, non-standard elements.
- The customs decision: what returns to Poland (ATA) and what stays in the UK (clearance).
- The collection place in Poland and a contact person at the stand.
- Extra services: buffer warehouse, tail-lift, carry-in, return transport.
