We carry Polish producers' furniture to the January Furniture Show, the biggest furniture trade event in the UK, held at the NEC Birmingham in the second half of January. Exhibit furniture is secured like delicate cargo: blankets, corner protectors and straps instead of plain wrapping, with paperwork run for temporary admission and return to Poland.
Why is exhibit furniture a difficult load?
A show piece has to arrive in perfect condition, because the buyer inspecting it at the stand decides orders for the whole year. So a sofa or a sideboard travels as premium cargo: separate partitions, furniture blankets, edge protection, straps that never press on upholstery. Fire safety: what must an exhibitor remember?
Upholstered furniture sold in the UK falls under fire safety regulations and permanent label requirements. A piece shown at the fair as an exhibit returns to Poland and formally never enters sale, but buyers ask about compliance right at the stand, so it pays to have labels and documentation ready before departure. Organising transport to the JFS
- The exhibit list: number of pieces, dimensions, weight, which items are upholstered.
- The clearance route: an ATA Carnet for the exhibition returning to Poland, an import entry for pieces staying in the UK.
- Loading with furniture-grade protection and export clearance.
- Delivery to the NEC in the allocated build-up window and handover at the point designated by the organiser.
- Collection after the show and the exhibits' return to the factory.
Dates: January needs a plan
The show starts in the second half of January, so loading falls right after the holiday break, when factories are only just returning to work. Booking transport in December removes the pressure: there is time for documents, production of show pieces and winter margin on the route. What about furniture sold straight off the display?
At furniture fairs a buyer sometimes wants to take a display piece on the spot or right after the event closes. That is doable, but it changes the documents: the piece comes off the ATA Carnet and moves to an import declaration with duty and VAT, and the procedure switch must be declared before the furniture is released to the buyer. So before the show we ask whether selling off the display is on the table: if it is, we prepare the tariff data in advance and a decision at the stand causes no documentary panic. Oversized pieces and the handover on site
Modular sofas, wardrobes and larger pieces can exceed standard pallet dimensions, so we plan them as individual positions: their own space in the vehicle, carriage on stands or in partitions, sometimes a tail lift vehicle. Inside the hall there is still the journey from ramp to stand: the venue's pallet trucks, internal routes and carry-in hours are set by the organiser, and we declare the needs at booking. Larger structures are handled like oversized loads, with the loading and unloading method agreed at both ends of the route.
The timeline: from order to stand
A well planned trip to the January furniture show follows a simple calendar. In November: stand confirmation and a preliminary exhibit list, transport booking. In December: production of show pieces, the ATA Carnet issued, labels and fire safety documentation approved. In early January: packing and securing the pieces, checking the carnet list against the load. In show week: loading, clearance, the crossing and delivery in the build-up window. Each stage carries margin for the previous one slipping, because the January calendar is unforgiving: between the holidays and the show there are barely a dozen working days. Exhibitors who start planning transport after New Year compete for the same vehicles and dates as everyone else.
