Exhibitors from Czechia, Slovakia, Austria and Hungary do not have to arrange separate transport to fairs in the United Kingdom. We collect exhibits directly from the given addresses in CEE, consolidate them at our base in Poland and carry them on one route to the UK venue — with customs clearance and an ATA carnet handled separately for each exhibitor.
How fair consolidation from CEE works
The model is simple: one trailer, several exhibitors, one destination venue. The truck collects exhibits from exhibitors in Czechia, Slovakia, Austria and Hungary, then the loads are consolidated in Poland and travel together across the Channel to the fair — for example to Birmingham or London. Each exhibitor pays for their share of the trailer, not for the whole truck, which makes a real difference for a single stand.
- Collection from the exhibitor address: factory, warehouse, company office.
- Consolidation and completion at the base in Poland before departure for the UK.
- A shared crossing and delivery to the same fair venue.
- Delivery to the stand in the build-up window, collection in the breakdown window.
Customs and the ATA carnet — separately for each exhibitor
Consolidation does not mean the documents get mixed up. Each exhibitor has their own ATA carnet issued to their company and their own exhibit list, and we run customs per exhibitor. At the border the carnets are stamped independently, so the return of one exhibitor does not block the others. How to prepare the document is described in the article ATA carnet step by step, and you will find the full context of formalities on the customs clearance page.
Why via Poland
Poland lies on the natural axis between Central Europe and the Channel ports. Our transhipment base lets us gather loads from CZ, SK, AT and HU, repack or secure them for the route and send them in one truck instead of four separate transports from four countries. We described the same mechanism for regular commercial groupage in the article on consolidation from CZ, SK, AT and HU to the UK — here we apply it to the specifics of fairs: rigid slots, crates and carnets.
The operation schedule from collection to the stand
We plan the operation backwards from the build-up date. First we set the collection windows at the individual exhibitors — so that the truck gathers all the loads without unnecessary mileage and reaches the base in Poland in time for consolidation. There the exhibits are checked, secured and completed with documents: each exhibitor with their own ATA carnet and general list. Then comes the shared route across the Channel, the stamping of the carnets at the borders and arrival at the venue in line with the booking. On site we deliver the exhibits to the individual stands in the assigned slots; we confirm the build-up and breakdown dates with the organiser and report the vehicle and driver details in advance.
Exhibitors from different countries do not have to know each other or coordinate anything — each of them talks to us about their own load, and the coherent schedule of the whole operation is our job. We build time buffers into every stage, so a delay at one collection does not upset the plan of the others.
Who this solution is for
- CEE exhibitors going to trade fairs in England and Scotland with one or several stands.
- Organisers of joint national pavilions and industry clusters.
- Companies that want one partner from exhibit collection to the return after the fair.
After the show the process works in reverse: we collect the exhibits from the stands in the breakdown window, discharge the carnets at the borders and deliver the loads back to Czechia, Slovakia, Austria and Hungary. The full scope of exhibition support is described on the exhibition logistics page.
