Machinery and production line relocation between Poland and the UK

Moving a machine or a whole line between Poland and the United Kingdom is a project, not a single freight order. We describe honestly what we do ourselves, what we coordinate with partners and which documents to gather.

On a machinery relocation between Poland and the United Kingdom we take responsibility for the transport and its organisation: vehicle selection, load securing, customs in both directions and the removal schedule. Dismantling, crane work and positioning are carried out by specialist crews whose dates we coordinate. The scope of every project is confirmed individually before quoting.

A relocation is a project, not a single freight movement: a dozen or more linked movements on a schedule where the order of removal follows the order of commissioning in the new hall. Changing one item shifts the whole plan, which is why time reserve matters as much as vehicle count.

What we take on

  • The transport plan: order of removal, choice of trailers, and special transport for heavy or wide items.
  • Securing and restraint of the load, with protection against moisture and movement.
  • Customs: export on one side, import on the other, including the customs value of used machinery.
  • Buffering: a warehouse on the British side and bases in Kielce and Legnica on the Polish one, when the destination hall is not ready.
  • Coordination of loading windows with dismantling and installation crews.

What we do not do ourselves and how we solve it

We do not carry out machine dismantling or crane work with our own resources, and we say so plainly rather than promising an all-in-one service that does not exist. On projects requiring such work we move what the dismantling crews prepare and agree loading windows with them, while lifting heavy items is planned with crane companies nominated by the client or matched to the project. The boundary of scope is set in writing before the start, so that no stage hangs between contractors. That is the most common source of delay in relocations: not a missing vehicle, but a lack of clarity about who does what on a given day.

The inventory: everything starts there

Before the first vehicle comes a list of items with dimensions, weights and lifting details. It decides how many vehicles are needed, of what type, and whether any item requires abnormal load transport. Without it a quote is guesswork and a schedule is fiction. Items exceeding the legal envelope bring permits and a designated route, described in oversized transport to the UK, with the service itself on the oversized loads page.

Securing and protection in transit

A machine is not a pallet: it has an unusual centre of gravity, sensitive control components and surfaces that must not be pressed by a strap. Securing is planned around the specific item, with packing pieces and support where needed, following the principles described in cargo securing under EN 12195. Electronics and drive components are protected against moisture, because a dozen hours in damp air can cost more than the whole transport.

Documents for used machinery

On importing a used machine the authority is interested in customs value, year of manufacture and technical condition. The basis is an invoice or sale agreement, technical documentation and rating plates. Added to that is the question of conformity marking, which often surprises owners of older equipment. We develop the subject in importing used machinery from the UK, and the rules for establishing customs value in what to include in customs value.

Schedule and reserve

The order of removal follows the order of commissioning: whatever must run first in the new hall travels first, even if it was the last thing switched off in the old one. A complete document set is prepared separately for every departure, so vehicles do not stand at the border. Across a dozen movements the plan needs slack, because one delay cannot be allowed to collapse the whole thing. When the destination hall is not ready on time, items wait at our Milton Keynes warehouse rather than in an open yard. The cargo category is described on the machinery and relocations page.

Frequently asked questions

What does a machinery relocation between Poland and the United Kingdom include?
We are responsible for the transport and its organisation: a transport plan with the removal sequence and trailer selection, from standard through mega to special transport for heavy or wide elements; securing to EN 12195-1 and protection against moisture; clearances in both directions, including the customs valuation of used machines; and buffering at the Milton Keynes warehouse on the UK side and the Kielce and Legnica hubs in Poland when the target hall is not ready.
Do you also handle dismantling and cranes in a production line relocation?
We do not carry out machine dismantling or crane work with our own resources, and we say so plainly. For projects that require them, we transport what the dismantling crews prepare and coordinate loading windows with them, while lifts of heavy elements are planned with crane companies nominated by the client or selected for the project. The scope boundary is agreed in writing before the start, so no stage hangs between contractors.
What documents are needed to move a used machine between Poland and the UK?
For importing a used machine, customs cares about the customs value, the year of manufacture and the technical condition. The basis is the invoice or sale agreement, the technical documentation and the rating plates. In the relocation schedule the key items are the inventory, a list of elements with dimensions and weights that determines the number of trucks, and a complete document set before each departure so vehicles do not stand at the border; with a dozen or more trucks the plan needs slack for delays.
