We deliver complete exhibits from Poland to Spring Fair at the NEC Birmingham: stand structures, collection samples and trade materials. The show runs in early February, so transport is planned in the middle of winter with margin for weather and the Channel crossing. From a single pallet in groupage to a full truck for bigger stands.
What do we carry to Spring Fair?
A typical Polish exhibitor's load is the stand structure, display units and collection samples: ceramics, glass, home textiles, candles, decorations, stationery. It is a contract show, not a market: most goods return to Poland, so the whole load usually travels on an ATA Carnet as exhibits. If you plan to hand out marketing materials or sell off samples, that part is settled separately on an import declaration.
Winter, the NEC and time windows
Spring Fair starts in early February, so the truck crosses Europe in midwinter. We build in margin for Channel storms and queues before the crossing; with an exhibit worth months of work, a day of buffer costs less than missing build-up. The NEC itself is the biggest exhibition complex in the UK, with its own truck booking system, described in our article on transport to the NEC Birmingham.
The trip plan step by step
- Confirm the stand and build-up window with the organiser, usually a few weeks before the show.
- A load list split into exhibits (ATA Carnet) and materials that will stay in the UK.
- Loading in Poland with time margin for the winter crossing.
- Export clearance, the crossing, UK import and the drive to Birmingham.
- Unloading in the NEC booking window and collection after the show closes.
Who is this for?
Spring Fair is a natural destination for Polish producers of interior goods, decorations and gifts looking for British wholesale buyers. One pallet of samples is enough to start: it travels as groupage LTL together with other UK-bound cargo, while a bigger stand gets a dedicated vehicle. The general exhibitor preparation plan is in UK trade fairs: a plan for Polish exhibitors.
How do we pack home and gift trade goods?
Ceramics, glass, candles and decorations are cargo that forgives little. We pack in layers: unit boxes with padding, outer cartons with no empty space, pallets banded and wrapped so nothing works loose over bumps. Display units and stand elements travel separately from fragile goods, and the heaviest pieces always sit at the bottom. With textiles and fashion the priority is clean and dry: goods travel in sealed cartons, and the vehicle carries a tight, reinforced curtain. At NEC unloading everything must be countable, because the vehicle's contents match the carnet list piece by piece.
After the show: return or the start of UK sales
Spring Fair usually ends with a contact list and first orders. The exhibit returns to Poland on the carnet, but clients increasingly choose the second option: the goods stay in the UK and wait for the first deliveries to British customers. Our Milton Keynes warehouse then holds the stock, handles labelling and ships orders to shops or wholesalers, without ferrying goods back and forth across the Channel. For the exhibitor it means a successful show can be serviced with deliveries counted in days, not weeks.
The Spring Fair exhibitor's checklist
- A confirmed stand and build-up window from the organiser, passed to the carrier.
- A load list split into the carnet part and materials staying in the UK.
- Transport packaging matched to fragile goods: padding, partitions, this-way-up markings.
- An ATA Carnet issued with time to spare, with an item list matching the load.
- A loading date set with margin for the winter route and the crossing.
- A contact person at the Birmingham stand, reachable by the driver on delivery day.
This short list covers most of the problems we see at February shows. Experience handles the rest: we run to the NEC regularly and know the venue's rhythm at big events.
