An exhibitor from the United Kingdom brings exhibits to Targi Kielce across the customs border of the European Union, because since Brexit the UK has been outside the customs union. Equipment returning to the UK after the event travels most conveniently on an ATA carnet issued in the United Kingdom, while materials staying in Poland require import clearance. OPTIMUS TRANSPORT consolidates exhibits at its Milton Keynes warehouse and delivers them to the venue in the build-up slot.
The reverse direction: GB to Poland
Most of our trade fair content describes Polish exhibitors heading to England — here exactly the same mechanism works, only mirrored. The export is declared on the British side, the Channel crossing requires the standard movement declarations, and entry into the European Union means customs formalities at the EU border. From the moment of entry into the EU the goods move freely within the customs union — there are no further customs borders between France and Poland.
The ATA carnet of a British exhibitor
For exhibits, stand structures and demonstration equipment that return to the United Kingdom in full after the fair, an ATA carnet is the right route — temporary admission without duty and VAT. A British company obtains the carnet from the carnet issuer in the UK (the chamber of commerce system), with a general list of goods covering descriptions, values and weights. The carnet is stamped on export from the UK, on entry into the EU and again on the way back — the full set of stamps is what releases the security. What about materials that stay in Poland
Catalogues, giveaways, samples and goods sold at the stand cannot travel on the carnet, because they will not return to the UK. This part of the load requires standard import clearance in the European Union, with an invoice and a packing list. Both groups can travel on one vehicle, but on separate documents — so we split the load list into "returns" and "stays" before collection. The formalities are described in the customs clearance hub.
Consolidation in Milton Keynes
Our Milton Keynes warehouse acts as the collection point for UK exhibitors: exhibits from the manufacturer, the structure from the stand builder and marketing materials from the printer meet in one place, are assembled to match the carnet list and leave for Poland on one vehicle. This simplifies the documents, cuts the cost compared with several separate shipments and gives one point of contact. In Poland the load arrives at our Kielce base, next to Targi Kielce, from where we deliver it to the venue exactly in the unloading slot.
Delivery to the venue and the return
The build-up and breakdown windows and the unloading slots are confirmed with the event organiser, and the vehicle notification follows the venue rules. After the event the process runs in reverse: collection from the stand, a buffer in Kielce, the return to the UK with a full set of stamps on the carnet and the discharge of the document.
