A Polish exhibitor plans a UK trade fair in three areas: the stand and build-up slot booked with the organiser, post-Brexit customs documents (an ATA carnet for returning exhibits or clearance for goods staying in the UK) and transport booked 2-4 weeks before build-up. Main exhibition venues in the United Kingdom
The British trade fair calendar centres on a few large venues. Each has its own delivery rules, unloading slots and vehicle traffic policies, so we have prepared separate guides for the key ones:
- ExCeL London — exhibition halls in east London.
- NEC Birmingham — a large exhibition complex in Birmingham, central England.
- Olympia London — a venue in the Kensington district of west London.
- Manchester Central — the former GMEX in the centre of Manchester.
- SEC Glasgow — an exhibition and events campus in Scotland; the same customs rules apply as for England.
- Farnborough International — a venue in Hampshire, known for its airshow, a frequent destination for large and heavy exhibits.
- Harrogate Convention Centre — North Yorkshire, northern England.
- Telford International Centre — the West Midlands region.
How early to plan the transport before build-up
We always confirm build-up and breakdown dates with the organiser — every event has its own schedule and rules. In practice a simple pattern works well: book the transport and complete the customs documents 2-4 weeks before build-up, depart from Poland with a buffer for customs and the crossing, and deliver to the venue in the assigned slot. For large events it is worth adding an extra buffer: our Milton Keynes warehouse receives the goods earlier and we deliver them to the venue exactly when the unloading window opens.
Post-Brexit documents: ATA carnet or clearance
The United Kingdom is outside the EU customs union, so every movement of exhibits needs formalities. The rule is simple: an ATA carnet for everything that returns in full (no duty and VAT), and standard export and import clearance for goods sold, given away or consumed on site — for example catalogues, samples and giveaways. The Dunkirk-Dover crossing requires an ENS declaration and a GMR, which we prepare as part of the order.
Common exhibitor mistakes
- Booking transport and slots too late — no space left in the build-up window.
- No "ATA or sale" decision before departure and mixing both groups of goods on one list.
- Consumables (catalogues, giveaways) entered on the ATA carnet although they will not return to Poland.
- No dimensions and weights of the stand elements — the wrong vehicle at loading.
- No plan for breakdown and the return of exhibits.
