Why a base next to the venue changes the maths
The biggest cost in exhibition logistics is not mileage but standing time. A truck arriving in Kielce the day before build-up has to spend the night somewhere, and the driver has to take a rest period. If the cargo drops into a warehouse a few minutes from the gate, the trailer is free and the goods sit under a roof. Delivery on build-up day then becomes a short shuttle inside a window agreed with the venue, independent of traffic on the approach roads.
The same applies at the other end of the calendar. After breakdown, exhibits rarely go straight to the next client: usually they wait for a decision, for repacking or for the next show. What the delivery looks like step by step
We start from the organiser's schedule: build-up day, gate hours and the rules for driving vehicles into the hall or onto the open ground. Then comes the stand plan, because we load the trailer in unloading order rather than loading order. Next we decide whether the goods travel straight to the venue or through our base. With exhibitor-built stands the buffered option almost always wins, because build crews rarely hit a window to the hour.
On build-up day the vehicle reports at the gate with the full paperwork: registration confirmation, exhibitor details, stand number. We unload so that structural elements come off first and finishes and exhibits last, once the stand has a frame.
Foreign exhibitors and non-EU exhibits
Kielce attracts exhibitors from the United Kingdom, and since 2021 their exhibits are third-country goods. That means an import entry, or an ATA carnet if the equipment returns intact. For exhibitors from Czechia, Slovakia, Austria and Hungary the movement is intra-EU, so only the logistics remain.
The main shows and what they demand
The Kielce venue hosts several very different formats, each with its own transport requirements. Kielce as a collection point for UK-bound freight
The Kielce base does not work for exhibitions alone. It is also where we gather loads from southern and eastern Poland and from Czechia, Slovakia, Austria and Hungary before they move to the United Kingdom. For an exhibitor that brings a concrete benefit: exhibits that are due to go to a British branch or to a customer in the UK after the show do not have to travel back to head office first. We collect them from the venue, prepare the export paperwork and slot them into the next westbound line. What to prepare before booking
- Show name, hall number and stand number.
- Build-up and breakdown day and hour from the organiser's regulations.
- A list of items with dimensions and weights, flagging those needing a forklift or crane.
- Whether buffer storage is needed before build-up and after breakdown.
- An on-site contact available on the day of entry.
